Confidentiality policy

1. Who this policy applies to
ABCP architecture et urbanisme inc. ("ABCP", "we") operates the abcparchitecture.com website. This policy explains what personal information we collect when you visit our site, write to us, or submit a job application. It also describes how we use this information, how long we keep it, who we share it with, and what your rights are.
It has been drafted in accordance with Quebec's Act Respecting the Protection of Personal Information in the Private Sector, as amended by Law 25.
Information we process as part of our professional mandates (clients, partners, consultants, authorities) is governed by our service contracts and professional obligations. It is not covered by this policy.
2. Privacy Officer
Pascal Gobeil is the person responsible for the protection of personal information at ABCP. You may contact him with any questions, access requests, correction requests, or complaints regarding your personal information:

3. Information we collect
The abcparchitecture.com website does not contain any forms, client portals, newsletters, or online stores. Consequently, we collect very little personal information, and only in the following situations.
3.1 When you contact us
The "Contact" links on the site open your email software. When you write to us at quebec@abcparchitecture.com, we receive your name, email address, the content of your message, and any information you choose to include, such as a phone number or the name of your organization.
3.2 When you apply for a job
The job postings on the site invite you to submit your application to rh@abcparchitecture.com. We then receive the documents you send us: your resume, cover letter, portfolio, as well as your contact information and the background details contained within those documents.
Please only provide information relevant to the evaluation of your application. We do not require your date of birth, photo, or social insurance number at this stage.
3.3 When you browse the site
With your consent, we use Google Analytics 4 to measure site traffic. This tool collects browsing data: pages visited, duration of the visit, referring site, device and browser type, language, and approximate location derived from your IP address. The full IP address is not stored by Google Analytics. This data is used to generate aggregate statistics and does not allow us to identify you personally.
If you decline measurement cookies, no browsing data is transmitted to Google Analytics. However, our hosting provider maintains technical logs (IP address, date and time, requested page) necessary for the security and proper functioning of the site.
3.4 Language preference
The site is available in French and English. Your language choice is saved in your browser's local storage so it is remembered from one visit to the next. This information is not transmitted to us.
3.5 Social media
The site contains links to our Facebook, Instagram, and LinkedIn pages. These are simple links: no modules from these platforms are integrated into the site, and no data is transmitted to them unless you click on these links. Once you are on their platforms, their privacy policies apply.
4. Why we use your information
We use your personal information solely for the following purposes:
- responding to your requests for information and following up on our communications;
- evaluating your application and communicating with you during the recruitment process;
- with your consent, keeping your application on file for future positions;
- understanding how the site is used in order to improve its content and navigation;
- complying with our legal and professional obligations.
We do not sell your personal information. We do not use it for targeted advertising, and we do not create profiles of our visitors. No decisions about you are made entirely by automated means.
5. Your consent
By writing to us or submitting an application, you consent to our use of the information provided for the purposes described in section 4. Audience measurement cookies are only placed after you have provided your agreement via the banner displayed during your first visit.
You may withdraw your consent at any time. For cookies, use the "Manage my preferences" link at the bottom of each page. For other information, write to the person designated in section 2. Withdrawal does not affect processing carried out prior to your request.
6. Cookies and measurement tools
A cookie is a small file placed in your browser by a site you visit. Here are those that the abcparchitecture.com site may place.
Necessary cookies do not require your consent. Audience measurement cookies are disabled by default and are only placed if you accept them.
You can change your choices at any time via the "Manage my preferences" link at the bottom of each page, or by deleting cookies in your browser settings. Refusing measurement cookies has no effect on your access to the site.
The site also uses Google Fonts, which are loaded from Google's servers. When loading, your browser transmits your IP address and technical information about your device to Google. Google states that it does not use these requests for profiling purposes.
7. Who we share your information with
We only share your personal information with the providers we need to operate the site and manage our communications:
- Webflow, Inc., which hosts the site;
- Google LLC, for Google Analytics 4, Google Tag Manager, and Google Fonts;
- Cookie-Script, for managing cookie consent;
- our email and document storage provider, for processing emails and job applications.
These providers only have access to your information to the extent necessary to perform their services. They are contractually obligated to protect it and not use it for any other purpose.
We may also disclose your information when required by law, for example, in response to a court order or a request from an authorized authority.
8. Hosting and disclosure outside Quebec
The site is hosted by Webflow on servers located in the United States. Google processes browsing data on its servers, which are primarily located in the United States. Some of your information may therefore be disclosed outside of Quebec.
Before using these providers, we assessed the risks to the protection of your information, taking into account the applicable legal framework and the security measures in place. We concluded that this information receives adequate protection, governed by our contractual agreements with each provider.
9. How long we keep your information
We retain your personal information only for as long as necessary for the purposes for which it was collected, after which we destroy or anonymize it.
- Information requests: for the time required to respond and follow up, and for a maximum of 2 years after our last exchange.
- Successful applications: documents are added to the employee file.
- Unsuccessful applications: 12 months after the end of the recruitment process, to offer you a matching position. You may request their deletion before this period ends.
- Audience measurement data: 14 months in Google Analytics, then only in the form of aggregated reports.
- Technical hosting logs: according to Webflow's retention policy.
Some information may be retained for longer periods when required by law or in the event of a dispute.
10. How we protect your information
We implement security measures proportionate to the sensitivity of the information we hold. Communications with the site are encrypted (HTTPS). Access to emails and applications is restricted to those who require it for their duties. Our employees are informed of their confidentiality obligations.
No transmission over the Internet is entirely secure. If you need to send us sensitive documents, please contact us first to arrange an appropriate method.
11. Your rights
You may, at any time and free of charge:
- obtain confirmation that we hold personal information about you and receive a copy of it;
- have inaccurate, incomplete, or ambiguous information corrected;
- withdraw your consent to the use or disclosure of your information;
- request that we stop disseminating information or that we de-index any hyperlink, when such dissemination causes you harm or violates the law;
- obtain, in a structured and commonly used technological format, the computerized information you have provided to us;
- file a complaint regarding our practices.
Please send your request in writing to the person responsible designated in section 2. We may ask for proof of identity to ensure that the request is coming from you. We will respond within 30 days of receiving your request. In the event of a refusal, we will provide you with the reasons and the available remedies.
If you are not satisfied with our response, you may contact the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).
12. Privacy incidents
If an incident involving your personal information occurs (such as unauthorized access, use, or disclosure, or loss), we will take immediate steps to limit the consequences. When an incident presents a risk of serious injury, we will notify the Commission d'accès à l'information and the affected individuals, as required by law. We maintain a record of all privacy incidents.
13. Links to other sites
This site contains links to sites that we do not operate, including our social media pages and a link to Google Maps. We are not responsible for their privacy practices. Please review their policies before providing them with any information.
14. Changes to this policy
We may update this policy to reflect changes in our practices or the law. The current version is always posted on this page, along with its last updated date. If a change significantly affects how we handle your information, we will provide a clear notice on our site.
